  • Provide logistical and emotional support to families during funerals.
  • Ensure dignified and respectful burial services for deceased community members.

  1. Programs and Services

a. Funeral Arrangements:

  • Coordinate all aspects of funeral services, including mortuary box arrangements and transportation.
  • Arrange for vehicles to transport the deceased and family members.
  • Help in organizing and conducting funeral masses.
  • Considering all the above aspects, the minimal support for local burial cases will be Rs 25,000 per deceased family. If the family decides to take the burial to their native place, any additional expenses will be borne by the respective family.

b. Bereavement Support:

  • Provide emotional support and counselling to grieving families.
  • Organize prayer meetings and memorial services.

c.Financial Assistance:

  • Collect an annual donation of Rs 1000/- from each family in the Holy Family Church and other Christian families.
  • Use funds to cover funeral expenses for families in need.
  • The contributed amount will be deposited in a bank account created at any national bank, and the requisite amount will be withdrawn on the day of the incident by the authorized signatory.
  • Relevant recurring expenses, such as meeting expenses, travel expenses, and any other related costs, will be adjusted from the main expenditure and should not exceed the amount given to the deceased family per year.

d.Community Engagement:

  • Encourage community participation in supporting bereaved families.
  • Promote volunteerism to assist with funeral arrangements and support services.

5. Target Beneficiaries

  • Families of the Holy Family Church and other Christian families in the community.
  • Bereaved families in need of financial and logistical support during funerals.
  • Community members seeking to contribute to a compassionate support system.

6. Organizational Structure

a. Executive Members:

  • Comprises members of the Holy Family Church and respected community leaders.
  • Provides strategic direction and oversight.

b.Executive Team:

  • President: Head of the organization and implements board policies.
  • Assistant President: Co-Leaders of the organization and implements board policies and second head of organization and implements board policies.
  • Secretary: Head of Administrative Management of funeral and all support services.
  • Assistant Secretary: Co-manager of all funerals and all support services and second head Administrative Management
  • Finance Secretary: Head of financial management and fundraising efforts.
  • Assistant Finance Secretary: Co-Leader of financial management and fundraising efforts and second head Administrative Management.
  • Organising Secretary: Heads of handling, communication, outreach, and volunteer coordination.

c.Field Staff:

  • Volunteers who assist with funeral arrangements and support services. The minimum one volunteers will nomination from every area for better communication.
  • Administrative staff supporting program implementation. The staff will be local body.

Executive Team: Minimum Tenure and Replacement Policy

  • Minimum Tenure: The minimum tenure for members of the Executive Team as stated at 6 (b) is (3) three years. This tenure ensures stability, consistency, and the ability to see long-term projects and initiatives through to completion. The three-year term allows for the development and implementation of strategic plans, fostering relationships with partners and donors, and maintaining organizational continuity.
  • Replacement Policy: While the standard tenure is (3) three years, replacements or changes to the Executive Team may be made as and when required and by election in every three year. This flexibility ensures that the organization can adapt to changing circumstances, address performance issues, or bring in new expertise when necessary. Reasons for early replacement can include:
  • Personal or health-related reasons leading to resignation.
  • Performance issues or failure to meet organizational goals.
  • The need for specific skills or expertise that better align with the current organizational needs.
  • Mutual agreement between the executive member and the board for a transition.

Field Staff: Minimum Tenure and Replacement Policy

Minimum Tenure: For field staff, while there is no strict minimum tenure requirement, it is encouraged that individuals commit to at least one year of service. This commitment helps ensure continuity and reliability in providing services and building trust within the community. It also allows field staff to gain a comprehensive understanding of their roles and make meaningful contributions.

Replacement Policy: Field staff may be replaced or have their roles adjusted as and when required, based on several factors such as:

  • Personal circumstances or health issues leading to resignation.
  • Performance-related issues or inability to fulfill job responsibilities.
  • Organizational restructuring or changes in program needs.
  • New opportunities for the staff member within or outside the organization.
